PARTICIPANT WAIVER AND RELEASE OF LIABILITY

Effective Date: November 2025

 

A Note from the Host

The Inner Piece™ Retreat was created as a safe and genuine space for women to rest, reconnect, and rediscover themselves. The following agreement isn’t meant to feel harsh or intimidating — it simply outlines the shared respect, boundaries, and responsibilities that allow everyone to relax and feel cared for.
 

By agreeing, you’re helping to create a space where every woman can feel seen, respected, and free from pressure, judgment, or distraction. These terms protect not just the Host, but you and the group experience as a whole — ensuring that our time together stays true to its purpose.

 

State of Indiana – County of Washington

This Participant Waiver and Release of Liability (“Agreement”) is made between The Inner Piece™ LLC, an Indiana limited-liability company (“Host”), and the undersigned participant (“Participant”).

 

1. Definitions and Released Parties

For purposes of this Agreement, “Released Parties” means The Inner Piece™ LLC, together with its owners, members, managers, officers, directors, employees, agents, independent contractors, vendors, facilitators, volunteers, successors, and assigns.
This Agreement covers only those retreats, workshops, lodging, meals, transportation, and related activities that are organized, facilitated, or sponsored by The Inner Piece™ LLC or its authorized representatives, and does not apply to events independently hosted by others outside of The Inner Piece™ LLC.

 

2. Participant Eligibility and Private Event Status

Participation in The Inner Piece™ Retreat is voluntary and intended for women, ages twenty-five (25) and older. Participants attend at their own discretion and assume personal responsibility for their physical, emotional, and mental wellbeing throughout the event. Each Participant agrees to act respectfully toward others and to honor all guidelines set forth by the Host and facilitators for the safety and comfort of the group.

 

2.1 Private Event Status

Each retreat is a private, invitation-only gathering with limited capacity. Uninvited individuals or members of the public may not attend or enter retreat spaces. The Host may request that any non-participant leave the property to preserve privacy and safety.

 

2.2 Application and Acceptance

Attendance may require a brief application or interest form. Participation is confirmed only upon written acceptance by the Host and timely completion of all required forms, including this Waiver. The Host may decline applications that are incompatible with the retreat’s purpose, atmosphere, or safety considerations.

 

3. Assumption of Risk

Participant understands that retreat activities may include indoor and outdoor movement, group interaction, light physical activity, stair use, and shared lodging. Participant acknowledges that such activities carry inherent risks including but not limited to minor injury, emotional discomfort, illness, or property loss. Participant voluntarily assumes all risks associated with attendance and agrees to exercise reasonable care at all times.

 

3.1 Accessibility and Physical Limitations

Venues may include stairs, bunk beds, or uneven ground. The Released Parties make no warranty of accessibility. Participant is responsible for evaluating personal physical ability to participate safely.

 

3.2 Emotional Support and Non-Therapeutic Nature of Retreat

The Inner Piece™ Retreat is a personal-growth and community experience and does not provide therapy, counseling, mental-health treatment, or clinical services of any kind. The Host and facilitators are not acting as licensed therapists, counselors, or medical professionals, and no portion of the retreat is intended to diagnose, treat, or manage mental-health conditions.

At this time, all sessions are non-clinical in nature. If therapeutic or licensed services are ever offered in the future, they will be provided only by individuals who are properly certified or licensed to perform those services, and such offerings will be clearly identified and separate from general retreat activities.

Participant is solely responsible for monitoring her own emotional wellbeing and agrees to seek professional support outside the retreat for any mental-health concerns. Participation is not a substitute for medical or psychological care, and the Released Parties are not liable for any emotional distress or mental-health outcomes related to attendance.

 

4. Conduct and Respect for Others

Participant agrees to help maintain a peaceful, substance-free, and sales-free environment. Alcohol, illegal drugs, and personal product promotion are not permitted. Any conduct that is disruptive or unsafe may result in dismissal from the event without refund. All Participants are expected to treat others with kindness, confidentiality, and respect.

 

4.1 Substance, Smoking, and Vaping Policy

The Inner Piece™ Retreat is an event free from alcohol and illegal drugs. Alcohol and illegal drugs are prohibited.

Personal, legal wellness products may be used outdoors during free time only, provided they comply with all applicable federal, state, and local laws in the jurisdiction where the Retreat is held and do not interfere with safety, participation, or the comfort of other guests. No wellness products or related items are provided by the Retreat, and guests may not share, distribute, solicit, or sell such products to other participants. The Retreat and Host assume no responsibility for any consequences arising from a guest’s choice to use or share personal items. Guests assume full responsibility for any consequences resulting from their personal use of legal wellness products.

Smoking or vaping of tobacco products and personal legal wellness products is permitted solely in designated outdoor areas away from buildings and group activities. Smoking or vaping of any kind is strictly prohibited indoors, and doing so is immediate grounds for removal without refund. All cigarette, vaping, and wellness-product waste must be fully extinguished and disposed of in the designated receptacles provided; improper disposal is not permitted.

Guests must remain able to participate safely and respectfully at all times. Any form of impairment—whether from alcohol, illegal substances, misused medications, or overuse of personal legal wellness products—that affects behavior, judgment, or safety is not permitted.

The Host reserves the right to remove any guest from an activity or from the retreat property if their behavior becomes unsafe, disruptive, inappropriate, or impaired in a way that impacts the comfort or safety of others. All payments remain non-refundable in such cases.


 

4.2 Participant Conduct and Safety Policy

Participant agrees to maintain respectful conduct toward all guests, staff, and facilitators. Harassment, intimidation, discrimination, theft, vandalism, physical aggression, possession of weapons, or disregard of instructions will not be tolerated.
The Released Parties may remove any Participant who endangers others or disrupts the event; removal results in immediate forfeiture of all payments. Participant shall be liable for any damage caused by her actions, and law enforcement may be contacted if necessary.

 

4.3 Respectful Space and Shared Values Policy

The Inner Piece™ Retreat honors and respects the individuality of every participant, including her personal beliefs, values, and life experiences. Guests are welcome to privately practice or hold their own spiritual, religious, or political beliefs within their own personal space.
However, to preserve the inclusive and restorative environment of the retreat, religious practices, teachings, or political discussions may not be led, promoted, or debated in group sessions or shared spaces. This event is a neutral space intended for personal growth, reflection, and connection beyond differences.
The Host values diversity and freedom of belief while maintaining boundaries that ensure emotional safety for all. The Released Parties reserve the right to address or remove any behavior, language, or activity that disrupts this neutrality or causes discomfort to others, without refund or credit.

 

4.4 Personal Cleanliness and Shared-Space Hygiene Policy

To promote a healthy and comfortable environment for all attendees, each Participant agrees to maintain reasonable personal hygiene and cleanliness during the retreat. This includes regular showering/bathing, use of deodorant, appropriate clothing, and sanitary handling of shared facilities such as bathrooms, kitchen areas, and sleeping quarters.
Participant further agrees to keep personal items organized within shared spaces and to dispose of trash or food waste properly. The Host reserves the right to address concerns related to hygiene, odor, or sanitation that affect others’ comfort or safety. Continued disregard of this policy may result in removal from the event without refund or credit.

 

4.5 Solicitation and Unapproved Services Policy

To preserve the integrity and focus of The Inner Piece™ Retreat, Participants may not solicit, sell, promote, or provide personal or professional services, products, or business offerings during the retreat unless they have received prior written authorization from the Host.
This includes—but is not limited to—coaching, healing sessions, product demonstrations, multi-level marketing activities, sale or promotion of personal business ventures, merchandise, or handmade goods, and distribution of promotional materials. Participants who wish to share a professional skill, product, or offering must request approval in advance and may only do so if it aligns with the retreat’s mission and atmosphere.
Unauthorized solicitation or business activity may result in immediate removal from the event without refund or credit.

 

5. Shared Spaces and Accommodations

Retreat lodging is shared among Participants unless a private room has been booked. Each Participant agrees to be considerate of roommates and to communicate needs kindly. Room assignments are made in advance with attention to comfort and accessibility and cannot be changed once the retreat begins. Some rooms include bunk beds; lower bunks are prioritized for early registrants or those with mobility concerns.

 

5.1 Outdoor and Campground Activities

Certain programs occur outdoors or on campground property not owned or controlled by the Released Parties. Participant accepts risks from uneven terrain, insects, wildlife, weather, campfires, and similar hazards.

 

5.2 Venue and Third-Party Property Use

Retreats may be held at privately owned or rented venues, including Airbnb® or other short-term-rental properties. The Released Parties do not manage or maintain such premises and cannot guarantee their condition or safety.
Participant agrees to comply with all house rules, occupancy limits, parking, and noise ordinances established by the property owner or platform. Any damage caused by Participant is the sole responsibility of Participant. The Released Parties are not liable for accidents, injuries, or losses arising from property conditions or actions of third-party owners or guests.

 

5.3 Venue Rules and Shared Use

Other persons unaffiliated with the retreat may be present on or near the venue. Participant agrees to respect all posted safety instructions and understands that violation of venue rules, unauthorized area access, or disregard of quiet-hour policies may result in immediate removal without refund or credit.
The Released Parties are not responsible for conduct of individuals outside their control.

 

5.4 Fire and Water Safety

Participant will exercise caution around any fires, candles, stoves, lakes, pools, and other bodies of water and follow all safety instructions. Failure to do so is at Participant’s own risk.

 

5.5 Comfort and Sleeping Arrangements

Lodging may be private, shared, or bunk-style. Participant understands that variations in temperature, noise, lighting, and roommate habits may occur. The Released Parties cannot guarantee complete comfort, privacy, or silence. Participant releases them from liability for discomfort, sleep disturbance, or dissatisfaction with accommodations. In the event that any issue arises, all reasonable efforts will be made to address it, but no specific outcome can be guaranteed.

 

5.6 Sensory and Environmental Sensitivities

Participant may be exposed to varying light, sound, scent, texture, or temperature, including cleaning products, perfumes, candles, music, conversation, or natural environmental conditions. Participants with sensitivities are responsible for bringing protective or comfort items. The Released Parties cannot provide a fragrance-free or sensory-controlled environment and are released from liability for related reactions.

 

5.7 Cleaning Products and Chemical Exposure

Standard cleaning and sanitizing agents may be used by venue staff. The Released Parties are not liable for allergic or respiratory reactions arising from their use.

 

6. Cancellations, Payments, and Venue Adjustments

6.1 Payments and Refunds

All payments made to The Inner Piece™ LLC are non-refundable, regardless of circumstance. This includes deposits, partial payments, and paid in-full registrations. Each woman’s spot is intentionally limited, and once reserved, cannot easily be replaced.

 

6.2 Credits and Guest Transfers

If a Participant needs to cancel 30 days or more before the retreat, she may receive a one-time credit toward a future offering of the same retreat event within two (2) years of the original booking date.
A booking may also be transferred to another eligible guest– defined as an adult woman, age twenty-five (25) or older – only with prior written approval from The Inner Piece™ LLC. Transfers apply only to the current retreat and are not available for future credits. Transfers cannot be made to a retreat or room type that is already full or otherwise unavailable.

The new participant must:

  • Meet all eligibility requirements

  • Complete and return all required waivers and forms no later than 48 hours before the retreat begins

  • Assume full responsibility under the same Terms, Waiver, and Policies as the original registrant
     

Transfers not approved in writing or completed within the required timeframe will be treated as cancellations under this policy. If the future retreat (or transferred reservation) costs more than the original booking, the difference must be paid before attendance is confirmed.

 

6.3 Cancellations Within 30 Days

Cancellations made within 30 days of the retreat start date – or failure to attend – results in forfeiture of all payments. In the rare case of a documented emergency, the Host may, at her sole discretion, extend partial credit toward a future retreat.

 

6.4 Host Cancellations or Rescheduling

If The Inner Piece™ LLC must cancel or reschedule a retreat due to circumstances beyond its control – such as illness, venue issues, or natural disaster – all registered guests will receive either a full credit towards a future retreat within two (2) years, or a refund issued at the Host’s discretion, which may reflect deduction of non-recoverable business expenses. Credits provided under this section are not transferable to another guest and cannot be used to transfer into a retreat or room type that is already full or unavailable.

 

6.5 Force Majeure

The Inner Piece™ LLC is not liable for delays, changes, or cancellations caused by events outside its reasonable control, including weather, illness, strikes, venue closures, transportation issues, or government restrictions.

 

6.6 Venue Changes Due to Attendance

If final attendance is lower than expected, The Inner Piece™ LLC may change to a different venue that better fits the group size. Any replacement venue will remain reasonably comparable in comfort and overall retreat experience. A venue change made for attendance or operational reasons does not qualify as grounds for cancellation, refund, dispute, or chargeback.

 

6.7 Room Plan Effort

If venue change becomes necessary, the Host will make every reasonable effort to honor each Participant’s original room type and sleeping arrangement. If adjustments are required due to the layout of the new venue, these changes will be made thoughtfully and communicated as early as possible.

 

6.8 Arrival, Departure, and Missed Activities

Participant is responsible for arriving on time and arranging safe transportation. No refund or credit is provided for late arrival, early departure, or missed workshops.

 

7. Third-Party Venues and Private Property

Retreats take place at private venues or lodges not open to the general public. By participating, you acknowledge that venue owners and managers are included within the Released Parties to the extent permitted by law and agree to follow all posted rules and reasonable instructions of the Host and property owners.

 

8. Food Preparation, Allergens, and Regulatory Compliance

Meals at The Inner Piece™ Retreat are prepared with care and attention in small, private settings. While we follow high standards of cleanliness and ingredient safety, we are required by law to clarify that we are not a licensed commercial kitchen.
Meals provided during the retreat are prepared in a private, limited-service setting for registered participants only and are not offered to the general public.

The Host and Released Parties follow reasonable sanitation practices, including the use of gloves, clean surfaces, and efforts to prevent cross-contamination. Participant understands that the retreat does not operate as a licensed commercial kitchen or “food establishment” under Indiana Administrative Code 410 IAC 7-24 or any successor regulation, and that no warranties of food-service licensure are made.

Participant assumes all risk associated with consuming any food or beverage provided, including the risk of allergic reaction, illness, or contamination, whether or not such reaction is alleged to result from negligence or violation of administrative regulation. Participant releases the Released Parties from any claim, demand, or cause of action related to food handling, preparation, or consumption, except in cases of gross negligence or intentional misconduct.

The Inner Piece™ LLC and its hosts will comply with all local venue, property, or kitchen safety rules in effect at each retreat location. When operating outside Indiana, the retreat will follow all applicable local food-handling and safety requirements in the host jurisdiction.

 

9. Medical Emergencies and First Aid

Participant authorizes the Released Parties to obtain emergency medical treatment if Participant is unable to consent. Basic first aid may be provided using protective supplies. The Released Parties will make reasonable efforts to contact Participant’s listed emergency contact as soon as practicable in the event of an emergency. Participant assumes financial responsibility for all medical costs and releases the Released Parties from liability for treatment outcomes.

 

9.1 Medication and Storage of Personal Items

Participant is solely responsible for maintaining and securing personal medications, including those requiring refrigeration, and for safeguarding personal property. The Released Parties are not liable for loss, theft, damage, or spoilage.

 

10. Personal Property and Belongings

Participant is responsible for her own belongings at all times. The Host and Released Parties are not liable for loss, theft, or damage to personal property before, during, or after the retreat.

 

10.1 Parking and Property Liability

Participant assumes full responsibility for vehicles and belongings. The Released Parties are not liable for theft, vandalism, or damage to property before, during, or after the retreat.

 

10.2 Travel and Off-Site Liability

Participant acknowledges that travel to and from the retreat venue is at her own expense and risk. The Released Parties are not responsible for transportation, delays, cancellations, or incidents occurring outside the retreat premises.

 

11. Limitation of Liability and Release

Except in cases of gross negligence or intentional misconduct, Participant hereby releases and forever discharges the Released Parties from any and all claims, demands, actions, or causes of action arising out of or related to any loss, damage, or injury that may be sustained while participating in the retreat or any related activity.

 

11.1 Indemnification

Participant agrees to indemnify and hold harmless the Released Parties from any claim, demand, or cause of action arising out of Participant’s acts or omissions, including property damage or injury to others.

 

12. Privacy and Media Consent

Photos and short videos may be taken to capture special moments shared during the retreat. Participants who do not wish to be photographed may opt out by notifying the Host before or at the start of the event. Participants and facilitators agree not to photograph or record anyone who has opted out and to delete inadvertent images upon request. This courtesy supports each woman’s right to privacy while preserving the peace of the group experience.

 

12.1 Additional Privacy, Data, and Media Terms


The Inner Piece™ LLC collects limited personal information (such as name, contact information, emergency contact, and relevant health details) solely for administrative and safety purposes related to retreat participation. This information will be used to communicate important updates, manage event logistics, and ensure participant safety.
Personal data will be stored securely and will not be shared or sold to any third parties, except as required by law or necessary for emergency medical response.
Group photos or video recordings may be taken during the retreat to capture the experience and promote future events. By attending, Participant grants The Inner Piece™ LLC permission to use such media—including likeness and voice—for lawful marketing, educational, or promotional purposes, without compensation.
Participants may opt out of identifiable photos by notifying the Host in writing before the retreat begins.

 

13. Governing Law and Jurisdiction

This Agreement shall be governed by and construed under the laws of the State of Indiana, regardless of where the retreat takes place. All administrative and legal matters for The Inner Piece™ LLC are handled through its Indiana home base. Any dispute arising from this Agreement shall be resolved exclusively in the state or federal courts of Washington County, Indiana.

 

14. Severability

If any provision of this Agreement is found to be invalid or unenforceable under applicable law, the remaining provisions shall continue in full force and effect as if the invalid portion were omitted. The intent of the parties is for all valid terms to remain binding and enforceable to the greatest extent permitted by law.

 

15. Entire Agreement and Acknowledgment

This Agreement constitutes the entire understanding between Participant and The Inner Piece™ LLC and supersedes any prior oral or written representations regarding the subject matter herein. Participant acknowledges that she has read this Agreement in full, understands its contents, and signs it voluntarily.
